Submit a Listing

MLS Listing Procedures  

Listings must be submitted to MLS via fax, mail, email (as a PDF attachment), through Listing Maintenance, or in person by midnight of the 5th business day after the list date as indicated on the listing contract for Residential, Condominium, Multiple Family and Vacant Land property types. (Business days exclude Saturday, Sunday and holidays). Commercial/Industrial/Business listings must be submitted by the 10th business day.

If emailing a listing data sheet and contract pages to MLS, all pages must be contained within ONE PDF FILE (under 8MB) and emailed as an attachment to:


Photos are to be uploaded to the completed listing within 6 business days of contract date. The main property photo must be of the exterior of the home/property being listed; if finished below-grade square footage is reported a photo (or virtual tour) that shows the finished below-grade area is also required.

Listing photos must have a minimum resolution of 1280x960. Accepted file types are .jpg, .jpeg, .gif, and .png. The maximum file upload size is 20MB (files will be compressed to 125K). Members may upload up to 60 images per listing.

Remarks Rule: Describe the property, not the potential buyer. Include information describing any feature or field marked "other" on the data sheet or in Listing Maintenance. When entering Remarks text, use only standard abbreviations, leave space between words, and leave a blank space after punctuation (spaces and punctuation are included in the character count for this field). Public remarks appear on public-facing "Customer" displays and on IDX websites. Please refer to MLS Rules section 4 for complete Remarks guidelines.
  Fair Housing Questionable Words & Phrases (updated March 2008). A list of words and phrases from the RANW Fair Housing Committee that members should use cautiously if at all in order to avoid Fair Housing issues. Use of any words and phrases from this list will trigger a courtesy email to the listing agent/office with a reminder to review the Remarks text to make sure Fair Housing Guidelines have been met.
Late Listing Form - MLS Rules state that listings must be submitted to MLS with the signed contract within 5 business days of the listing date on the contract (10 days for Commercial Industrial listings). If the completed listing will not be submitted to MLS within that time frame, members may use a Late Listing form to notify MLS of the late listing, and the reasons why the listing will be late, and possibly avoid late listing fees.
The Late Listing form and Listing Contract should be submitted to MLS's data entry department before the 5 business day grace period has expired. For companies performing Listing Maintenance, once the late listing is entered into Paragon, the Late Listing form should also be uploaded as a PDF document at the same time the Listing Contract is uploaded. That way, data entry has all of the information and they can match the listing with the late waiver forms they've received.
If the Late Listing form was not provided to data entry with the listing contract before the listing is beyond the grace period, MLS may not be able to waive any late fees or fines.
dot Seller Exemption of Property from MLS - should be used if the seller requests the property not be entered in the MLS; listing contract and data form should still be submitted to MLS within 5 business days of the list date as noted on the contract, along with the exemption form.
Limited Service Listing Attachment - (Word Document) must be completed and submitted/uploaded as a PDF document with any listing marked Limited Service=Yes. Within RANW MLS, Limited Service applies only to the items marked A through G at the bottom of this form; if any service (A through G) is not being provided by the listing agent/company, the listing is considered Limited Service=Yes. If all services (A through G) are being provided, the listing is Limited Service=No and this form is not needed.
Auction Form - Required form to be attached as a PDF Document to an Auction listing in Paragon. Additional rules apply; please see the RANW MLS Rules and Regulations for complete information.
dot Municipal Sub-Area Codes - required for listings located in the Cities of Appleton, DePere, Fond du Lac, Green Bay, and Oshkosh.

Supplemental Forms  
Accessibility Features Report: Optional form used to describe accessibility and/or barrier-free information for an MLS listing. This form may then be attached to the listing by uploading it to Paragon's PDF documents.

Property Information Worksheet - may be completed by the listing agent/office and attached as a PDF Document to a listing in Paragon to assist a selling agent with a partial list of information for Offer preparation (not to be attached to an Offer of Purchase).
